Why every stock quantity in Core ERP comes from a ledger

Stock that doesn't match the shelf is usually a design problem, not a staff problem. How Core ERP's immutable stock ledger keeps sales, purchases and reports in agreement.

Ask a trader whether their stock figures are right and the honest answer is often 'roughly'. Quantities get edited by hand, a return is forgotten, an invoice is changed after the goods left. When we built Core ERP, our business management system for traders, distributors and retailers, we made one rule early: nobody edits a stock quantity directly.

Quantities are calculated, not typed

In Core ERP, every receipt, sale, return and adjustment posts a movement to an auditable stock ledger. The quantity on hand is the sum of those movements. Stock items show live quantities from the ledger, valued at weighted-average cost.

Corrections are new movements, never edits

The stock movements ledger is immutable. When an invoice is edited or deleted, Core ERP doesn't quietly rewrite history — it posts a sale reversal. A customer return becomes a 'return in' movement against the credit note and invoice. Every line shows the date, item, reference, quantity, unit cost, value and who made it.

That means you can always answer 'why is this number what it is?' by reading the ledger.

Physical counts and write-offs

Stock adjustments reconcile physical counts and write off damaged or lost stock. Each adjustment has a reason and shows its value impact, so shrinkage is visible in the numbers instead of hidden in them.

Why it matters for reports

Because sales, purchases, returns and adjustments all post to the same ledger, the reports agree with each other: profit and loss, stock valuation and the sales and purchase registers are built from the same records. Purchase returns reduce stock and what you owe the supplier; credit notes put stock back on the shelf at its original cost.

Applying the idea to your business

Whether you use Core ERP or a custom system, the principle holds: make stock quantities the result of recorded events, never something people type. It is the single design choice that most improves trust in inventory numbers.
