From paper requests to verified certificates: how EduServe runs college student services
Students apply online, staff approve in their own queues and certificates are issued as numbered PDFs anyone can verify by QR code. A look inside our college ERP.
Product storyIn many colleges, a bonafide or leaving certificate still means a paper form carried from desk to desk. Nobody can see where a request is, and anyone receiving a certificate has to trust the paper in front of them. EduServe, our college ERP, was built to replace that with a workflow everyone can follow and a certificate anyone can check.
Every request in a queue, with a clock
Students apply online for certificates and ID cards — bonafide, character, leaving, transfer, no-objection, fee, course completion, attendance and medium-of-instruction certificates. Each staff member sees the requests waiting at a step assigned to their role and department, oldest due first, with SLA timers.
Staff can verify, approve, reject, comment or ask for a correction. A corrected application resumes at the step that asked for it, rather than starting over.
Certificates that can be verified
Certificates are issued as numbered PDFs from configurable templates, with signatories and a QR code. An immutable issuance register keeps every number — including revoked and superseded ones, with the reason — and anyone can verify a certificate by scanning the QR code or entering its number.
New services without new code
Every student service is configuration: its form, documents, fee, approval workflow and certificate template are set from the admin screens. Configuration is versioned, so applications already in progress keep the version they started with.
The rest of the college in the same system
Students and enrolments, classes and timetables, attendance with students below 75% flagged, examinations with SGPA, a fee desk with printed receipts, the library and no-dues clearance all read from the same student record. An append-only audit log records important actions.
Start small
Modules can be switched on or off, so a college can begin with student services and add academics, fees or the library when each department is ready. If your institution needs something EduServe doesn't do, we can build it as a custom module.
