What is an API? How integrations connect your business software

How APIs and webhooks let your website, store, accounting and messaging tools share data automatically, and what makes an integration reliable.

If your staff copy orders from the website into a spreadsheet, then into accounting software, then into WhatsApp messages, you have an integration problem. APIs are how software systems pass that information between themselves, automatically and without typing errors.

An API is a menu for software

An API (application programming interface) is a defined way for one system to ask another for data or ask it to do something: create an invoice, check stock, send a message, fetch a payment status. The system offering the API decides what's available and who's allowed to use it, usually with secret keys.

Most modern tools — payment gateways, shipping providers, WhatsApp Business, Google services, accounting software — publish APIs so other software can connect to them.

Webhooks: being told instead of asking

An API call is your system asking a question. A webhook is the other system notifying you when something happens: a payment succeeded, a parcel was delivered, a form was submitted. Webhooks keep systems in sync in near real time without constantly checking.

Common integrations worth automating

Website orders flowing straight into stock and accounts. Payment confirmations updating invoices automatically. Booking or order updates sent to customers on WhatsApp or SMS. Leads from website forms landing in a CRM with the source recorded. Sales data posted to accounting software for GST returns.

Each one removes a repetitive task and, more importantly, a place where mistakes happen.

What makes an integration reliable

Networks fail and other systems go down, so a good integration retries failed requests, avoids creating duplicates when the same message arrives twice, and logs every exchange so problems can be traced. It also alerts someone when something keeps failing, rather than silently losing data.

Keys and credentials should be stored securely on the server, never in the website's code, and each integration should have only the permissions it needs.

When there is no API

Older software sometimes has no API. Options include scheduled file exports and imports, reading from a shared database with care, or replacing that piece with software that integrates. Mapping these limits early is part of planning any automation project.

Frequently asked questions

Can you connect our website to our accounting or ERP software?

Usually, yes, if the software has an API or a reliable import format. We review what's available and recommend the most dependable way to connect them.

Is it safe to share data between systems?

Yes, when done properly: encrypted connections, secret keys kept on the server, limited permissions and logs of every exchange.

Can WhatsApp messages be sent automatically?

Yes, through the WhatsApp Business Platform using approved message templates, for things like order confirmations, reminders and status updates.
